Interim solutions

One of the most significant changes to moving to a hybrid workforce is the way we use space on campus. The shift to booking and sharing workspaces previously assigned to individuals will come with the need for new processes, habits and technology.

University-wide hoteling software

We are happy to announce that the TMU Workspace Booking system is now live and in use by our pilot groups: The Chang School of Continuing Education and Facilities Management and Development. The university is now moving to the early-adopter phase of the booking-system rollout for groups who are ready to transition to the enterprise booking system. 

Based on the levels of readiness, departments’ onboarding will be organized to ensure the university’s space-planning team has the resources to support each user-group’s migration to the enterprise-wide system.

Interim solutions: Practice makes perfect

The rollout will take time and some departments may need interim measures for managing their shared spaces until they are onboarded to the enterprise-wide system. We’re sharing a template spreadsheet that can be copied and adapted to practice booking shared spaces and piloting new ways of working. This spreadsheet is a tool that departments can use right away to help refine space use and administration processes. This will also help prepare departmental groups for their migration to TMU Workspace Booking.

We’ve filled in several rows of samples to give you a sense of what this might look like for a whole team with a variety of workspace options available. Delete the sample content to get started on listing your bookable workspaces and the equipment available in each. You will need to be logged into my.torontomu.ca to access the template.

Setting new norms for sharing workspaces

Leaders will need to work collaboratively with their teams to create new workspace guidelines and expectations on how different spaces are used, for what purpose, and how they should be left for the next users. Consider starting with this template, and add new sections for the different types of spaces you’ll be creating in your area.
