Final Assessments Winter 2023
Dear faculty members and contract lecturers,
Please see information below about final exams, including a reminder about the student names policy and personal devices for on-campus exams.
Note that some of this information is not applicable to the Lincoln Alexander School of Law. Law faculty should watch for additional communications from the School of Law.
Important Dates
- The final examination period is April 17 to April 29, 2023, including Saturdays and Sundays. See information about religious, Aboriginal and/or spiritual observance below.
- The final exam schedule has been sent to scheduling contacts with departments, programs and schools and will be posted on the student Exams website on March 17, 2023.
- Note the schedule only lists exams that start at a specific time. Final assessments that are completed over a longer, more flexible time frame are not listed.
- Chang School final exams are usually held during the last class or on April 15, 2022.
- The deadline for students to notify their department, program or school of a conflict or overload or to book an accommodated exam through the Test Centre, is Friday, March 31, 2023.
In-Person Exams
The On-Campus Exam Guide for Invigilators and Professors has been updated. If you have on-campus exams and need invigilators, notify your department, program or school. Invigilators are required at a ratio of 1 invigilator for 50 students, and instructors can count as invigilators. Department/School administrators have received information about invigilator hiring. Faculty and contract lecturers with exams at the large exam venues (MAC Court, Arena and 4th Floor and KHW 271 upper gym) will receive additional instructions separately.
Personal Devices for Final Exams on Campus
Note that campus facilities, including the Test Centre, large venues (MAC Court, Arena and 4th floor, and KHW 271 and KHW073 gyms) and most classrooms do not have the infrastructure to support online exams in person. Please make arrangements to hold a paper-based exam or switch to an online exam.

Duplicating & Printing Services
Duplicating & Printing is open at 105 Bond Street. Find hours and more details on Duplicating & Printing Services. The print shop at TRSM is no longer available.
Instructors who have exams at the Mattamy Athletic Center will receive additional instructions.
Akindi Scanning On-Campus Available
Akindi printing and scanning is available on-campus at Duplicating and Printing Services, 105 Bond Street, or can be completed and automatically marked wherever a professor has access to a printer or scanner.
Akindi is an online integrated assessment system for either online or paper-based bubble sheet examinations. The tool is accessed through your D2L Brightspace course shell, where you can securely input your test answers using the easy-to-use assessment builder. Akindi's web-based platform has a number of advantages over Scantron bubble sheets, including options for multiple correct answers, simple grading adjustments, a direct integration with your D2L classlist, and the option to use home-based printers and scanners.

Online Assessments and Virtual Proctoring
If you are conducting final exams remotely, please refer to the resources made available by the Centre for Excellence in Learning and Teaching and the Office of the Registrar. These resources include information about best practices for assessments.
If you plan to use Respondus LockDown Browser and/or Monitor to administer a final exam, it is strongly recommended that you review the dedicated virtual proctoring webpage on the Centre for Excellence in Learning and Teaching website. Encourage your students to review the instructions and try a practice quiz, ideally a minimum of two weeks prior to the scheduled test or exam.
Student Names Policy 172 and Chosen First Name
TMU has a new policy for (PDF file) Student Names: Senate Policy 172. Effective fall 2022, students can use their chosen first name for internal purposes on campus, including as their display name in D2L Brightspace, Google Workspace and Zoom. The chosen first name will also display to instructors on class rosters and grade rosters and will continue to display to academic administrators on the Student Center page in RAMSS.
The legal name remains the official name on the student record and will be used for external purposes. It will also be used on all official university documents, such as Official Transcripts and Graduation Awards, as well as other documents produced for external purposes.

For examination identification purposes:
- The policy and procedures of the (PDF file) final examinations policy 135 still apply.
- In case of a discrepancy in a student’s first name between your class roster and the OneCard, you can refer to the student’s last name and TMU Student Number to confirm the student's identity. Returning students now have the opportunity to replace their OneCard with one displaying their chosen name.
- Students from The Chang School are not required to have OneCards and may use government-issued identification as outlined on the TMU OneCard website. If the first name on the government ID doesn’t match the class roster, the instructor can record the name on the ID, allow the student to write the exam, and check with the CE team at ce@torontomu.ca to confirm the legal name at a later time.
Academic Accommodations
The Test Centre supports in-person and online tests and exams for students registered with Academic Accommodations Support (AAS). The Final Exam booking deadline is Friday, March 31, 2023.
Students requesting to write their final exams using their test accommodations should book their accommodated test or make-up test using the AAS Student Portal within applicable deadlines.

Make-Up Tests and Exams
The Make-Up Test Centre is available to support you with the administration of in-person and online tests and exams. For more details see Make Up Test Centre Website or contact at 416-979-5000 x543619 or makeuptestctr@torontomu.ca.
The Make-up Test Centre has limited capability to support in-person, computer-based tests that require D2L, Microsoft Office, or Adobe Suite.
Students registered with Academic Accommodation Support (AAS) who need to schedule an accommodated make-up, please use AAS as above.
Religious, Aboriginal and Spiritual Observances
If a student is requesting accommodation due to a religious, Aboriginal and/or spiritual observance, they must submit their request via the online Academic Consideration Request (ACR) system within the first two weeks of the class or, for a final examination, within two weeks of the posting of the examination schedule.
